Proof of Status

When you register for the Student / Retired / Low-Waged / Unwaged Registration, or submit a bursary application as one of these categories, you will be asked to provide some proof of your status.

When registering online you will be taken to a file upload page, allowing you to submit your proof immediately. Alternatively, you can provide us with your proof of status by emailing imc@leeds.ac.uk.

Owing to the difficulties and risks associated with acquiring physical copies of documents, for 2025 we are able to accept screenshots of official documentation. However, please note that we are unable to receive proof of status documents by post or by fax. Also, due to changes in our conference management system, the IMC is no longer able to retain Proof of Status from one year to the next.

You only need to provide one proof of status, but you will need to submit it separately for the bursary application process and for registration.

Accepted Proofs of Status for students:

In order to qualify for the concessionary rate, students must provide evidence of their enrolment as a student during the IMC registration period. Any documentation must clearly show the date at which their student status expires.

  • Student card scans / photos featuring an expiry date
  • Recently issued official university enrolment forms or certificates
  • Recently signed letters from academic departments on official headed paper

Accepted Proofs of Status for retired individuals:

  • Passport scan as proof of age (over the age of 65)
  • Recent letter from former employer stating the date of retirement
  • Official former employer or state documentation

Accepted Proofs of Status for unwaged individuals:

  • Official state documentation
  • Official documentation provided by work unions

Accepted Proofs of Status for individuals from low-waged countries:

  • Passport scan as proof of residency
  • Letter from employer on letter-headed paper indicating your location of work

For the purposes of IMC Registration, we use the World Bank list of low-income economies, as defined by the World Bank Atlas method.

Accepted Proof of Status for other low-waged individuals:

The IMC team reviews every application for low-waged concessionary registration on a case-by-case basis.  When reviewing applications the primary criteria is income, but we also take into account other factors affecting your income including, but not limited to, duration and precarity of employment, caring responsibilities, and recent periods of unemployment. As the IMC is an international event, attracting scholars from over 60 countries each year, for those taking part in person, we also consider the relative cost of living in other parts of the world against the cost of travel to and participation here in Leeds.

When registering online under the low-waged category, you will be asked to indicate your annual income and provide a supporting statement where you can tell us about any other factors affecting your income. You will also be asked to use the file upload tool available in the registration form to submit evidence to support this. If you are unable to upload a file immediately, you can provide us with your proof of status by emailing imc@leeds.ac.uk.

All applications are reviewed on a case-by-case basis and where extra evidence is required, or queries have arisen during the review process, the IMC team will always send an email of clarification before reaching a final decision on low wage cases.

Examples of relevant Proof of Status for low-waged concessions include:

  • Contract of employment
  • Recent wage slip
  • Recent tax documentation
  • Recent official state benefits documentation
  • Letter from your employer, stating your employment terms and salary
  • Other proof of current income
