How to Register

Registration for IMC 2024 opens at 10:00 (GMT) on Tuesday 20 February 2024 and closes at 23:59 on Wednesday 12 June 2024.

Payment for registering using the online system is by credit/debit card only, and the secure online booking system accepts Visa and Mastercard. Unfortunately, we are currently unable to process American Express Payments.

The deadline for registering for IMC 2024 is Friday 03 May, 23:59 (BST). Registrations received after this time are at the discretion of the IMC and may be subject to additional late fees.

Late registrations are welcomed via the link above. However, it will not be possible to register for IMC 2024 after Wednesday 12 June, 23:59 (BST).

2024 Registration & Programming Fee

We appreciate that many in our community are facing increased financial pressures as a result of inflation. Unfortunately, the IMC is not immune to these pressures and many of our costs – including venue hire, equipment, supplies, staffing, IT support, programme production, maintaining our programming, registration, and virtual event platform – have increased substantially. As the IMC operates on a non-profit basis, it has been necessary to increase rates for 2024 to cover our operating costs. 

Recent years have allowed us to innovate in how colleagues participate in the IMC, with 2020 and 2021's wholly virtual IMCs followed by 2022 and 2023's successful hybrid Congresses. Delivering hybrid solutions, together with inflationary pressures, has meant that the overall cost of facilitating the IMC has risen by over 35% since the start of the pandemic. In particular, the additional cost of synchronous presentation remains substantial, both in terms of technical costs and staffing needs.  

2024 Registration and Programming Fees

In Person Rates

  • Standard Registration: £288.00
  • Concessionary (Student/Retired/Unwaged/Low-Waged) Registration: £156.00
  • Day Passes: £189.00

Virtual Only Rates

  • Standard Registration: £232.00
  • Concessionary (Student/Retired/Unwaged/Low-Waged) Registration: £111.00

Owing to technical limitations, it will not be possible to offer virtual-only day rates.

Any registrations received after Friday 03 May 2024 are accepted at the discretion of the IMC organisation and are subject to additional late fees.

The IMC is run on a non-profit basis with any surplus redirected into the Bursary Fund, towards improvements to the IMC experience on campus, or to ensuring our submission and registration systems remain fit for purpose. To ensure the future stability and continuation of the Congress for years to come, we need to limit our losses and cover as large a proportion of our costs as possible.

This fee covers the processing of proposals, production of the programme, staffing costs, proposal management, development and maintenance of software to manage programming, registrations, and virtual event platform, as well as ensuring excellent delegate support is available for all speakers and attendees attending both in person and virtually.

As in previous years, reduced registration fees will be offered for less well-off members of our community, including students, retired, unwaged, and low-waged individuals.

Concessionary Registrations

If you register as a student, retired, unwaged, or low-waged scholar, you will need to submit proof of status either during your registration or shortly afterwards.

Low-earning delegates are also able to apply for this concessionary rate. Please provide a supporting statement as part of your registration and we will be in touch to request further details. If you have any queries about your eligibility for this rate, please contact us by emailing imc@leeds.ac.uk before registering to discuss your individual circumstances.

If you have been awarded an IMC Bursary, please follow the instructions in your bursary award email to register for IMC 2024.

Payment Methods

Payment for registering using the online system is by credit/debit card only and remains the quickest and most secure way to pay for your IMC registration. The secure online booking system accepts Visa and Mastercard. Unfortunately, we are currently unable to process American Express Payments. In exceptional circumstances, we can accept payment via alternative methods.

We can accept payment by credit/debit card over the telephone. We are able to accept Visa or Mastercard but are unable to accept American Express or Electron.

Therefore, if you cannot pay online, you can access this service by completing your registration as normal and making a note of your reference number when you reach the 'Payment' screen. You should then email imc@leeds.ac.uk, including your full name, email address used to register, and this registration number and we will recover your incomplete registration and provide details of when colleagues will be available and the number to call to make payment. Please note that items selected can only be confirmed once payment is received.

If you are unable to pay online or by phone, please contact us as soon as possible so we can make the necessary arrangements for you to pay via bank transfer. Payment via bank transfer, invoice, or any other method will incur an additional fee of £25 to cover the additional administrative costs.

We are unable to accept payment by cash, cheque, Diner’s Club, Traveller’s cheques, or Postal Orders.

Financial screening to comply with sanction requirements

As a UK education institution, the University of Leeds is legally required to comply with all sanctions regimes imposed by UK law by conducting due diligence screening.

To ensure compliance with financial sanctions and other regulations, we may respectfully request delegates provide information in advance of registration. This is part of the controls implemented by the University to ensure that no relevant financial sanctions regimes are breached, and to ensure our bank will accept payments from prospective delegates.

On supply of this information we will screen nationals, or residents, and those working for or whose attendance is funded by organisations or individuals based in broadly restricted countries and regions, as defined by our bank, which include Belarus, Cuba, Democratic Republic of Korea, Iran, Region of Crimea, Russia, Syria, Ukraineand Venezuela, also checking the source of funds of those delegates to ensure our bank can accept payment.

The screening process requires you to complete a secure online form to ensure compliance with sanctions regimes, and also to ensure our bank will accept payments from you or your funding source. It is your responsibility to make sure any associated third parties are aware that you are sharing this data with the University. The University of Leeds will store this data securely in accordance with its data protection policy. The University of Leeds will store this data securely. We may share this data with our professional advisors, including our lawyers, bankers and insurers, where necessary in the course of the professional services that they provide to us. The data is shared with them securely as laid out in our Privacy Notice.

When you register online, you will be asked if you are a national, or resident, or are working for or having your attendance funded by organisations or individuals based in broadly restricted countries and regions listed above. Individuals who are affected should indicate 'Yes, please send me screening information'. In this case, you will still be able to register, your bookings (for accommodation, meals, events etc) will be reserved for you, but we will not process payment until the screening process is complete. Following completion of the online registration form, affected delegates will be sent further details, instructions and a link to the screening questionnaire which is a short, secure online form. The questions asked are limited to your name, email address, date of birth, nationality, permanent home address, details of the person/organisation making the payment, and the method of payment. We ask that this is completed within a week of receiving the instructions, so we can ensure the process is completed as quickly as possible.

Known Issues

We are currently unable to process American Express card payments online. This has been raised with the payment gateway supplier. Please make payment using a Visa or Mastercard card.
